Every ITTU service job passes through one tracking system: the request gets a number, the job goes to a named technician, working time and content are recorded on site, and at the end of the month the client receives a report showing everything that was done. The invoice is based on these records, not on estimates.

A request with a number and a status

A fault, a maintenance visit or additional work is requested in one place — by phone, e-mail or through the service request form. The request gets a number and a status, so you can always ask what is happening with it and who is responsible.

A job for a named technician

The request becomes a job for a named technician, with the site, address and deadline. The order and urgency of jobs are set by the service manager, so planned maintenance is not pushed aside by call-outs.

Working time logged on site

The technician starts and finishes the job on site — the time that goes into the report is the actual working time on site, not a timesheet filled in later. The client receives hours that can be checked against the request and the description of the work.

Work content, materials and photos

For each job we record what was done, which materials and spare parts were used, and attach before-and-after photos. Defects found that fall outside the job are recorded as recommendations for future work.

Planned maintenance schedule and service reports

Every system and item of equipment has a maintenance schedule at the frequency set in the service contract. Completed maintenance is documented in service reports, and upcoming maintenance is visible in advance — nothing depends on memory.

Monthly work report and an invoice backed by records

At the end of the month, the work report is produced for sign-off from the system records: the work listed by site, with dates, hours and materials. The invoice is based on the approved report, so every invoice line is traceable to a specific request.

The site's technical history and reporting

All work is stored against the site — years later you can still see what was done, when and why. By agreement, the client receives reports for a site or a group of sites: number of call-outs, repeat faults, maintenance completed, costs by system.

Refrigeration equipment (F-gas) records

For cooling and air conditioning equipment containing fluorinated greenhouse gases, we record the refrigerant charge, leak checks and top-ups. We prepare the data the equipment owner needs for the annual report required by law.

Budget control for larger jobs

If we carry out a larger repair or alteration under the service contract, it has an agreed estimate against which actual hours and materials are tracked in the system. We flag deviations before they become a surprise on the invoice.

Frequently asked questions

The system is in daily use at ITTU's service sites; the client's reporting format is agreed in the contract.

Can the client see the system directly?

The system is ITTU's internal working tool. The client receives its outputs — the request number and status, the monthly report, service reports and summaries. If the proposal includes client access, we explain what it offers separately.

How is working time evidenced?

The technician starts and finishes the job on site, and that time goes into the monthly report together with the description of the work. On request, the time can be compared with the request and job records.

Does the system work for a single site too?

Yes. The tracking procedure is the same for one shop and for a portfolio of buildings; only the extent of the reporting differs.

Can you take over an existing equipment list?

Yes. Send us your existing equipment list or maintenance specification — we register the equipment in the system and prepare the maintenance schedule.
